A practical buying process
Run a small pilot before a company rollout
Give two shortlisted tools the same work. Include the people who will use the tool and the team responsible for company systems.
- Choose one measurable task. Record time spent today, quality of the result, and the review effort. Repeat with AI and count corrections.
- Check access with different roles. Confirm a person cannot retrieve a document they are not allowed to see. Test what happens when their access is removed.
- Agree on data handling. Ask where data is stored, how long it is retained, how deletion works, and whether content is used for model training. Get the answers for the exact plan you will buy.
- Calculate the full bill. Include seats, usage, existing software licenses, setup, support, training, and ongoing review. Set a usage budget and an owner before expanding.

Do we need an enterprise plan?
